INFORMATION FOR TENANTS DURING LOCKDOWN – JANUARY 2021

With Wales being placed in lockdown since Saturday 19th December 2020, it has resulted in our office being closed to the public in line with current restrictions and instruction.

During this time, staff will be present at the office at regular times Monday to Friday – but we will be operating with reduced staffing levels and our usual business hours will not apply. Our phone lines will be open when staff are present at the office, so please try contacting us on 01792 652151. Emails will also be checked periodically and we will get back to you as soon as we possibly can. Please be aware that due to this enforced closure, responding to emails and voicemail messages may take longer than usual due to the circumstances and of course reduced staffing levels.

We are once again navigating our way through this enforced closure as best we can and we are adapting our business to ensure we remain here to help; the health and safety of our staff and tenants are of the highest priority and we thank you in advance for your patience and understanding during this time.

To contact us, it is advised that email is the best method. Please contact us at info@swanseapropertyagents.co.uk. We have a mobile number that can used for emergencies only. The mobile number will be available outside of usual office hours, however, is not a 24/7 service. We will respond as quickly as possible. Please send a text with the following information: Name / Address / Contact Telephone Number / Brief description of issue. A member of staff will contact you to discuss further. We will continue to respond to and resolve maintenance issues during the lockdown period. Please be aware that each maintenance report will be assessed for its urgency and we will make arrangements accordingly. We will be limiting visits to properties for essential purposes only, as will our contractors. This is to ensure the safety of our staff, tenants and contractors as much as possible. Obviously, if the maintenance report is urgent we will of course tend to that matter and endeavour to resolve in the quickest possible timeframe.

IN CASE OF EMERGENCY

If you are a tenant with a maintenance emergency out of hours, please text 07534 525132. Please leave your name, address, contact telephone number and a brief description of the issue. A member of staff will get back to you shortly after and following that conversation SPA will make any necessary arrangements with local contractors, if required to help resolve the issue in the quickest possible time. Please bear in mind that during lockdown, any Contractor visit may take more time than usual to arrange; this can be due to availability and other matters in the current circumstances – we understand any maintenance issue may cause frustration and be inconvenient, however, please be assured we will work as swiftly as possible and ask for your patience at this time. Tenants will be kept updated and informed throughout.

Please note that Contractors will not have keys to any property, so should a visit be required tenants will be expected to be at the property to provide access. Tenants will be informed of who to expect and with permission from both parties, contact details can be shared so tenants can liaise with Contractors directly if need be to arrange access. A member of SPA staff will be on hand to assist and provide updates.

Any out of hours call outs that are not deemed to be an emergency will be charged to the tenant. Please use your judgement and when contacted to take time to provide as much information as possible, answering questions clearly. This will help ascertain whether the issue is an emergency or not. Out of hours

We ask tenants to be patient during this time, whereas any maintenance issue can be inconvenient - as with any out of hours service there may be a longer timescale than usual for trades to visit the property and resolve given the timing of the issue that has occurred. Please note that the tradespeople will not be in receipt of keys to the property out of hours, therefore the tenants will be expected to be at the property to meet the trades person and provide access.

Lost Keys

Please note that whereas lost keys can be an inconvenience, it is not considered an emergency. If you require this service out of hours, you will be expected to pay for the service upon completion, directly to the Locksmith. If you can wait until the next day, then you could call the office and we will arrange. Please note, lost keys will be charged to you and you will be advised of such costs before works are scheduled. Payment will be required prior to the works being undertaken.
If you experience any issue in relation to locks for any other reason than lost keys and the problem has occurred out of hours, please call the Locksmith on 07791 093934. You will not be required to incur costs upon completion, the Locksmith will provide feedback to us the following day as to the cause of the problem and costs will be confirmed at this point - to either the Landlord or the Tenant.
